Coastal Photo Studio – Client Photography Agreement
This agreement is intended as a general client contract for photography services at Coastal Photo Studio, including but not limited to headshots, portrait sessions, mini sessions, branding sessions, and creative sessions. This document is a working draft and may be updated as services evolve.
1. Parties
This Photography Agreement (“Agreement”) is entered into between Coastal Photo Studio (“Photographer” or “Studio”) and the Client booking photography services.
2. Services Provided
The Photographer agrees to provide photography services as described at the time of booking. Session details may include:

Session type (e.g., headshots, mini session, branding, portrait)

Date, time, and duration

Location (in-studio or otherwise specified)

Number of images delivered and delivery method
Specific details will be confirmed via booking confirmation, invoice, or email correspondence and are incorporated into this Agreement.
3. Booking, Payment & Retainers

A non-refundable session fee is required to reserve the session date and time.

No session is considered booked until payment is received.

Pricing is set at the time of booking and may vary by session type.
Non-Refundable Policy
All session fees are non-refundable. However, if the Client is unable to attend the scheduled session, the amount paid may be applied as a credit toward a future session, subject to the conditions below.
4. Rescheduling & Credit Policy

Session credits may be applied to a future session within 90 days of the original booking date.

Credits have no cash value and may not be transferred to another client.

Credits may be applied only once and must be used in full at the time of rebooking.

Any price difference between the original session and the new session will be the responsibility of the Client.
Missed Sessions / No-Shows

Failure to attend a session without notice will result in forfeiture of the session fee and any associated credit.
5. Client Responsibilities
The Client agrees to:

Arrive on time and prepared for the session

Communicate any special requests prior to the session

Ensure all participants are cooperative and prepared
Late arrivals may result in reduced shooting time without a price adjustment.
6. Artistic Style & Editing

The Client acknowledges that photography is subjective and agrees to the Photographer’s artistic style, editing approach, and creative discretion.

Requests for extensive retouching beyond the standard editing style may incur additional fees.

Unedited (RAW) files are not provided.
7. Image Delivery

Image delivery timelines will be communicated at booking or during the session.

Final images will be delivered digitally unless otherwise specified.

The Photographer is not responsible for maintaining copies of delivered images beyond a reasonable archival period of 90 days.
8. Copyright & Usage

All images remain the copyright of the Photographer.

The Client is granted a personal-use license unless otherwise specified in writing.

Images may not be altered, sold, or used for commercial purposes without written permission.
Studio Usage
The Photographer may use images for:

Portfolio
-
Website and social media
-
Marketing and promotional materials
Clients may request a privacy or non-publication clause in writing prior to the session.
9. Model Release
Unless otherwise stated in writing, the Client grants Coastal Photo Studio permission to photograph and use images of all participants as outlined in Section 8.
If the Client does not wish to grant model release rights, this must be disclosed before the session.
10. Studio Conduct & Safety

Coastal Photo Studio is a respectful, inclusive, and professional environment.

Disruptive, unsafe, or inappropriate behavior may result in immediate termination of the session without refund or credit.

Clients are responsible for any damage caused by themselves or their guests.
11. Force Majeure
The Photographer shall not be held liable for circumstances beyond their control, including but not limited to illness, emergency, natural disasters, or equipment failure. In such cases, the Photographer will offer rescheduling or credit toward a future session.
12. Limitation of Liability

The Photographer’s liability is limited to the amount paid for the session.

The Photographer is not responsible for loss or damage resulting from circumstances beyond reasonable control.
13. Agreement & Acknowledgment
By booking a session and submitting payment, the Client acknowledges that they have read, understood, and agree to the terms of this Agreement.
This Agreement constitutes the entire understanding between the parties and supersedes all prior communications.
