1. Parties

This Agreement is between Coastal Photo Studio (“Photographer”) and the individuals listed on the booking invoice (“Client” or “Couple”).

2. Event Details

The Photographer agrees to provide wedding photography services as outlined in the booking invoice or proposal, including:

• Wedding date

• Coverage start and end times

• Location(s)

• Package details

• Deliverables

The invoice and any written proposal are incorporated into this Agreement by reference.

3. Retainer & Payment

• A non-refundable retainer of $500 is required to reserve the wedding date.

• The date is not secured until the retainer and signed Agreement are received.

• The remaining balance is due 30 days prior to the wedding date, unless otherwise agreed in writing.

Non-Refundable Policy

All retainers and payments are non-refundable. The Photographer declines other bookings for the reserved date.

4. Cancellation & Rescheduling

Cancellation by Client

If the wedding is canceled, all payments made are non-refundable.

Rescheduling

If the wedding date is changed:

• The Photographer will make reasonable efforts to accommodate the new date.

• If the Photographer is unavailable, payments made are non-refundable.

• If available, a rescheduling fee may apply.

5. Coverage & Cooperation

• The Client agrees to provide a timeline at least 14 days before the wedding.

• The Client is responsible for designating a family member or coordinator to assist with organizing group portraits.

• The Photographer is not responsible for missed moments due to delays, restrictions, or interference by guests.

6. Artistic Style & Editing

• The Client acknowledges that they have reviewed the Photographer’s portfolio and accept the artistic style.

• Editing style, image selection, and final delivery are at the Photographer’s discretion.

• RAW images are not provided.

7. Image Delivery

• Delivery timeline is typically 6–10 weeks unless otherwise stated.

• Images are delivered via online gallery.

• The Photographer is not responsible for maintaining image files beyond one year after delivery.

8. Copyright & Usage

• All images remain the copyright of the Photographer.

• The Client is granted a personal-use license.

• Commercial use requires written permission.

Model Release

Unless otherwise agreed in writing, the Client grants permission for the Photographer to use images for portfolio, marketing, social media, and promotional purposes.

9. Meals & Breaks

For coverage exceeding 5 consecutive hours, the Client agrees to provide a hot meal and reasonable break time for the Photographer and any assistants.

10. Overtime

Coverage beyond contracted hours will be billed at an hourly rate agreed upon in advance or outlined in the invoice.

11. Limitation of Liability

• In the unlikely event of total photographic failure or loss of images, liability is limited to the amount paid.

• The Photographer is not responsible for circumstances beyond control, including venue restrictions, weather, or interference by guests.

12. Force Majeure

If the Photographer is unable to perform due to illness, emergency, natural disaster, or other circumstances beyond control, the Photographer will make reasonable efforts to secure a replacement. If a replacement cannot be found, liability is limited to refund of payments received.

13. Safe Working Environment

The Photographer reserves the right to cease coverage if faced with unsafe, hostile, or inappropriate working conditions.

14. Governing Law

This Agreement shall be governed by the laws of the State of Oregon. Any disputes shall be handled in Coos County, Oregon.

15. Entire Agreement

This Agreement constitutes the entire understanding between the parties and supersedes prior discussions. Amendments must be in writing.

16. Agreement & Signature

By signing below, the Client acknowledges that they have read, understand, and agree to the terms of this Wedding Photography Agreement.
